The Guest Services Coordinator (GSC) is a full-time, year-round position which supports the mission and goals of Maine Maritime Museum (MMM) by giving top priority to strategic plan initiatives, teamwork and public service. The payrate for this non-exempt position is $16.00/hour. The GSC is primarily responsible for the coordination of all group tour bookings including responding to inquiries, processing reservations, and coordinating group visits while on site. The position focuses on establishing long-term vendor relationships, developing new business, and helping promote all the museum has to offer. The position additionally supports the Guest Services Store Manager by providing supervisory responsibilities in their absence and assisting with daily store and Guest Services functions.


• Coordinates group tours including booking, scheduling, and confirming reservations
• Coordinates volunteer docents for group tours with help from the Volunteer Coordinator
• Works with museum staff to ensure that group tours receive excellent customer service, including a welcome to the museum, and management of payments and refunds
• Coordinates with the Special Events Sales Manager on group tours with private event rentals
• Accurately report admission numbers for group tours
• Responsible for daily opening and closing procedures including: opening store, gallery spaces and shipyard exhibits
• Provide an exceptional guest experience for all Museum guests
• Share weekend supervisory responsibilities with managerial staff and fulfill all the responsibilities of a Guest Services Associate
• Take an active role in inventory management: receiving, merchandising and restocking as directed
• Participate in annual physical inventory
• Maintain and enhance the Museum’s on-line shop and process Internet orders
• Sell and promote admissions, seasonal tours and cruises
• Work cooperatively with the Development, Marketing, and Public Program departments with a focus on growing membership and earned revenue
• Accurately use the museum’s reservation software for advance reservations, for in-store guests and telephone inquiries
• Communicate museum information accurately and maintain a current level of knowledge and awareness of all museum exhibits, tours, programs, classes and memberships
• Accurately utilize the POS system for admissions, program fees and store inventory
• Participate in training seasonal staff
• Assist with reconciling cruises, events, donations and memberships
• Provide end-of-day paperwork reconciliations to the Finance Department
Skills and abilities
• Ability to deliver an excellent and safe guest experience for all who visit
• Effective communication skills
• Solid understanding of retail operations and event planning
• Highly comfortable with computer software such as Microsoft Office Suite and point-of-sale systems
• Excellent organizational and time management skills
• Ability to multi-task and problem-solve independently in a fast-paced environment
• Experience with employee management and ability to work constructively and professionally with diverse groups with a commitment to working across the organization
• Ability to work a flexible schedule that will include weekends and evenings
• Ability to stand for periods of time, lift 50 lbs., walk over irregular terrain, and work in both indoor and outdoor settings.
